In-depth user research for the 'Online Uitzenden' flow revealed that a lack of insight into the status of requests and candidates was a major pain point. In response, I designed a strategic status system that brings transparency to the entire recruitment process.
By adding statuses and insights to every relevant point of the user journey, from the dashboard for a quick overview to the specific request and the onboarding of candidates, I created a seamless experience.
The clarity of these statuses was validated with clients, resulting in a more insightful and reliable platform that not only increases trust but also significantly improves the user experience.
Phase 1: Research

My role: identifying opportunities to add statuses for a more transparent client portal
Outcome: The research phase resulted in a detailed mapping of all internal flows and statuses. This documentation served as the blueprint for creating a transparent and consistent experience within the client portal.
We decided upon to inform clients with request and candidate status on the dashboard, request overview+detail page and the candidate detail page.
Phase 2: Design components
My role in this phase was to design the core components that would bring complete transparency and insight to the hiring process. I focused on creating a set of intuitive, purpose-driven components that provide clients with a clear view of their requests and candidates at every stage.
The components I designed include:
Dashboard Component: A high-level overview that provides immediate insights into the status of all requests, allowing clients to quickly identify what needs their attention.
Request Overview: A detailed component showing the specific status of every candidate within a single request, offering a clear and granular view of the hiring pipeline.
History Component: Integrated into every detail page, this component provides a full audit trail of the hiring process, showing every step a candidate has taken from application to onboarding.
Actionable Cues: Strategically placed notifications and visual cues that inform clients when their action is required or when Randstad is actively working on their behalf.
Phase 3: Validating designs with stakeholders
Following the component design phase, I developed a high-fidelity prototype to bring the concepts to life. This interactive model served as a crucial tool for validating my designs with key internal stakeholders. By demonstrating the look, feel, and interaction of the proposed solution, I was able to gather essential feedback and gain confirmation that the design direction aligned with both business goals and the overall project vision. This step was vital for moving forward with confidence and ensuring a successful implementation.
Phase 4: Validating statuses with users & clients
After creating the prototype, the next critical step was to validate the designs with our users. My role was to lead this validation process to ensure that the proposed solution was not only functional but also intuitive.
The primary focus of this validation was to bridge the gap between our internal processes and the user's understanding. We tested whether the terminology used for each status was clear to our clients and if it was immediately obvious when they needed to take action. This crucial feedback confirmed that the designs were on the right track, allowing us to proceed with confidence, knowing the system would be clear and easy for our clients to use.
Phase 5: Implementing the designs
The final phase of the project was implementation, where I collaborated closely with the development team to bring the designs to life. Working within an agile Scrum environment, my role was to act as the design advocate, ensuring the correct and meticulous implementation of my designs and interactions.
I translated the design concepts into clear user stories for the front-end and back-end developers, while also collaborating with the Product Owner and Business Analyst to maintain a shared vision. This phase was crucial for ensuring that the final product was a faithful and high-quality representation of the design strategy.
Result: From Uncertainty to a Transparent Overview
The outcome of this project is a fully transparent 'track & trace' system that eliminates client uncertainty. By designing and integrating a comprehensive status system throughout the portal, from the dashboard to the detail pages, I created a consistent and insightful experience. Clients now have a clear overview of the progress of requests and the status of candidates at all times, which not only significantly improves the user experience but also increases trust in the process.
